UW CRC Service Fees

ITHS Member and Non-Member Costs for Utilization of Clinical Research Resources
at the UW Clinical Research Center

The grant funding for the Clinical Research Center (CRC) has been folded into a larger NIH effort, the Clinical Translational Science Award (CTSA). This consolidation makes the CRC, including nursing, nutrition, and body composition & bioenergetics services, core resources in the Institute of Translational Health Sciences (ITHS). As a core in the ITHS, costs for use of the CRC will be shared with investigators. ITHS members will have part of those costs subsidized by the CTSA award as described below.
 

We have appreciated your support of the CRC throughout the years. We have worked very hard to develop a reasonable cost plan that is affordable for PIs to budget for use of the core resources on your grants. We do intend to “grandfather in” existing studies that have not budgeted for these fees. Moreover, the CRC is now open to all industry-sponsored studies. As subsidies will be available for ITHS members, we encourage you to become one (ITHS Membership). The ITHS Center for Scientific Review (CSR) will approve all subsidization. For example, if the CSR approves subsidization for a new investigator, the investigator's research study will share the cost of clinical services with the CTSA award. In other words, if the agreed-upon reimbursement for an outpatient procedure for research purposes is $100, the CTSA award would support 50% and the new investigator’s award would support the other 50%. The aggregate agreed-upon rate for reimbursement of the services does not change.

How to Determine Projected Costs for Your Grant Proposal

Effective 5/20/08, all grant proposals submitted that intend to utilize ITHS nursing, nutrition, and body composition services at the UW will need to include costs for these services. To obtain estimated costs to include in your grant budgets, please complete the appropriate template(s) below for each of the services you intend to utilize. Please send the completed template as an attachment via e-mail to ITHSfees@u.washington.edu

Note that 10 working days lead time is required to assure a timely turnaround for ITHS estimated budgets. Each template includes specific directions about how to submit the template for cost determination as well. You will receive an estimated budget, including applicable subsidies, suitable to submit with your grant proposal within 10 working days of submitting the template.

Future Development of ITHS Rates

Current rates are applicable through 5/31/09; costs will be estimated four years beyond that date. Future ITHS subsidy support is contingent on ITHS having CTSA dollars or institutional support to offset the otherwise full cost to the existing federal award. The ITHS Leadership will annually determine the level of subsidy support as part of the UW rate setting processes and will base the support rates on projected available funds and projected service demand.

Fees and subsidy levels will be established and communicated in the future for CRCs at other sites that are funded by the CTSA, as well as for other ITHS services

Frequently Asked Questions and Answers for UW Services:

  1. When do fees apply?
    Answer: Fees apply to all grant proposals submitted after 5/20/08. They will also apply to grant proposals that previously requested CRC fee information. Initially, fees will apply to all UW CRC nursing services, nutrition, and body composition & bioenergetics services.
  2. Do I inflate fees for subsequent years of the grant?
    Answer: No, the estimated budget you will receive will include increases for annual inflation (5% for inpatient bed days; 4% for all else).
  3. Do the nursing fees change if I provide a dedicated study nurse?
    Answer: Yes, so please inform us about the type of study staff you have available and the % of study visit time such staff will be available.
  4. Are my previously SAC approved studies exempt from charges?
    Answer: Yes, during the SAC approved period (generally 5 years). When requesting approval for a renewal period, you will be required to pay for services in the same manner as a new study.
  5. If my study will be using nursing, nutrition, and body composition & bioenergetics services, do I need to complete all 3 templates?
    Answer: Yes, as each template asks for different information. They are all submitted to the same e-mail address: ITHSfees@u.washington.edu
