Data entry requirements for OnCore protocols include basic protocol information (e.g., protocol staff, participating institutions, protocol sponsors, etc.), IRB and other committee approvals and subject accruals. Epic active protocols with a billing grid and budget also require study financials, subject status and visit tracking and sponsor invoicing (as required).<\/p>\n<p>Please note that if a Protocol has already been created, but it requires an edit or change, the <a href=\"https:\/\/www.iths.org\/ctms\/ctms-submissions\/study-amendments\/\">Study Amendment<\/a> pathway should be utilized.[\/vc_column_text][vc_empty_space][vc_column_text css=&#8221;&#8221;]<\/p>\n<h3><span style=\"color: #0a799a\">How to Create a Protocol Record in OnCore<\/span><\/h3>\n<p>[\/vc_column_text][vc_empty_space height=&#8221;10px&#8221;][vc_column_text css=&#8221;&#8221;]Study teams will submit a <a href=\"https:\/\/redcap.link\/studyintakev2\">New UW\/Fred Hutch Study Intake Form<\/a> to initiate the creation of a new protocol record in OnCore. This submission should occur when the protocol is finalized (not expected to change) and before IRB submission. Study documents required at submission may include (as applicable to the protocol):<\/p>\n<ul>\n<li>Protocol<\/li>\n<li>Consent Forms<\/li>\n<li>IDE Letter<\/li>\n<li>CSTD\/SPIROS Document<\/li>\n<li>DSMB Charter Document<\/li>\n<li>IDS SOP Approval<\/li>\n<li>Safety Data Sheet<\/li>\n<li>Draft Sponsor Contract Template<\/li>\n<li>Draft Sponsor Budget<\/li>\n<li>Investigator\/Drug Brochure<\/li>\n<li>Study Manuals <em>(device, pharmacy, imaging, etc)<\/em><\/li>\n<\/ul>\n<p>The CTMS Program Office will create a new OnCore protocol record within 24 &#8211; 48 hours of a complete REDCap survey submission. The study team will be notified via email when a new protocol record is created in OnCore, along with guidance on minimum data entry and staff training requirements.[\/vc_column_text][vc_empty_space][vc_column_text css=&#8221;&#8221;]<\/p>\n<h3><span style=\"color: #0a799a\">Protocol Intake and Activation Workflows Tracked in OnCore<\/span><\/h3>\n<p>[\/vc_column_text][vc_empty_space height=&#8221;10px&#8221;][vc_column_text css=&#8221;&#8221;]After a <a href=\"https:\/\/redcap.link\/studyintakev2\">New UW\/Fred Hutch Study Intake Form<\/a> is completed, study intake and activation processes will be tracked via task lists within the OnCore protocol record.<\/p>\n<p>Offices that utilize OnCore for tracking protocol intake workflows include:<\/p>\n<ul>\n<li>UW Clinical Trials Office (CTO)\/Clinical Research Budget &amp; Billing (CRBB)<\/li>\n<li>Fred Hutch Clinical Operations &#8211; Research Services (CORS)<\/li>\n<li>Fred Hutch Investigational Drug Service (IDS)<\/li>\n<li>Clinical Research Support (CRS)<\/li>\n<li>Fred Hutch Clinical Information Systems (CIS) Research Orders<\/li>\n<\/ul>\n<p>[\/vc_column_text][vc_empty_space][vc_column_text css=&#8221;&#8221;]<\/p>\n<h3><span style=\"color: #0a799a\">Study Start-Up Sponsor Letter<\/span><\/h3>\n<p>[\/vc_column_text][vc_empty_space height=&#8221;10px&#8221;][\/vc_column][\/vc_row][vc_row css_animation=&#8221;&#8221; row_type=&#8221;row&#8221; use_row_as_full_screen_section=&#8221;no&#8221; type=&#8221;full_width&#8221; angled_section=&#8221;no&#8221; text_align=&#8221;left&#8221; background_image_as_pattern=&#8221;without_pattern&#8221;][vc_column][vc_column_text css=&#8221;&#8221;]Starting 09\/08\/2022, the minimum required documents for REDCap Clinical Research Intake will be expanded to include all applicable documents. The requirements vary by study type, ancillary participation, oncology\/non oncology research, location and other attributes.
