The CTMS Operations Team provides support for end users through various avenues.

CTMS Support Desk

  • What: Assistance with OnCore access requests, workflows, troubleshooting, general questions
  • When: Monday – Friday 8:00 AM – 4:30 PM

CTMS Tips & Tricks Newsletter

  • What: Newsletter featuring announcements on OnCore updates, data entry reminders and workflow guidance, other news and upcoming events
  • When: Issued bi-weekly
  • Where: Email distributed to all active OnCore users with view and edit permissions

CTMS Online Office Hours

  • Format: Open Zoom meeting; drop-in anytime between scheduled hours; breakout rooms available for additional privacy
  • When: Tuesdays 10 am – 12 pm & Fridays 12 pm – 2 pm PST
  • Where: Zoom- meeting link on the OnCore Announcements landing page (OnCore access required) or email CTMS@fredhutch.org
  • Additional Help: Team members from UW Clinical Trials Office (CTO) and UW/Fred Hutch Epic (UW Research IT) are available to take questions during Friday office hours; team members from Fred Hutch Research Billing Office are available on Tuesdays & Fridays for research billing questions
  • Note: Office Hours will not be held on observed UW/Fred Hutch holidays occurring on a Tuesday or Friday

OnCore CTMS Webinars

  • What: Presentations on OnCore-related and parallel office research workflows, information on new OnCore updates, requirements and integrations, refresher training for specific OnCore roles/permissions
  • When: Webinar dates announced via CTMS Tips & Tricks Newsletter; webinar meeting invites sent to OnCore users via Outlook
  • Where: Zoom meeting; link provided in webinar Outlook invite
