ITHS Privacy and Security Policy – Website and Computer Personal Data

Overview

This document describes the ITHS commitment to privacy. It describes the information gathering and dissemination policies for this website (www.iths.org). Information Collected

The ITHS collects information from our users in the registration process that may involve personal and/or demographic information. The personal information we request will be used to contact you about issues related to your use of our services, to provide you with periodic email notifications about ITHS services, or to notify you of changes to this policy. The demographic information we collect or request will only be used as anonymous data for research purposes or reporting requirements. It will not be provided to third parties, except as required by law.

Information Sharing & Disclosure

Personal information is defined as information about an identifiable individual, recorded in any form. The ITHS will not share any personal information about ITHS users, sponsors, or conference attendees, except as noted below, which the ITHS considers a “researcher profile.”

As an NIH-funded institute, a central goal of the ITHS is to foster collaboration and communication within the greater research community. To advance this goal, if you are a user of ITHS services, we reserve the right to publish information describing your “researcher profile” on the ITHS website so that researchers can search our database of users for new collaborators or colleagues with specific expertise. If you receive a service or services from the ITHS (such as consultation, conferences or other ITHS supported work), we also reserve the right to provide this information to the NIH as part of our requirement to report on uses of our funding.

Data Access

Requests for access and/or use of ITHS user, staff, or collaborator information made by ITHS staff will be considered on a case by case basis by the ITHS Executive Director. Requests for access and/or use of ITHS user, staff, or collaborator information made by an outside person or group will be granted by the ITHS Executive Director only after first gaining approval of the individual. All such requests will be tracked.

Opting in or out of ITHS Email

The ITHS maintains email lists for sending news or other information to ITHS members. The ITHS will not share ITHS email lists with any non-affiliated ITHS entities, and any emails we send will come only from the ITHS after approval of the Director of Communications. You may opt-out of receiving emails from the ITHS, aside from an (approximately) yearly request for updated information from you and occasional surveys of our users. You may opt-out by emailing us or by contacting us directly at the ITHS at 206-616-6115.

Security

The ITHS takes every reasonable precaution to protect our users’ information, both online and offline.

Legal Disclaimer

The ITHS reserves the right to disclose your personally identifiable information as required by law and when we believe that disclosure is necessary to protect our rights and/or to comply with a judicial proceeding, court order, or legal process served on our website.
