UW Workday Integration Launched!

As of July 6, 2023, the US Workday Integration has been fully launched!

What studies are in scope for the UW Workday – OnCore Integration?
UW Oncology and Non-Oncology studies are in scope for this integration if UW is the holder of funds and studies have calendars and financials built out in OnCore. Study teams should begin checking in visits via the study calendar, generating all applicable invoices, tracking receipts and reconciling payments as soon as the first Study Calendar is ‘Released.’

Important Information on Award Status findings:

We have recently learned that there is a Workday hold and some fully executed awards are still showing in an ‘Advance’ status in Workday.  UW Office of Sponsored Programs (OSP) is catching up on updating the award status for contracts/agreements that have been fully executed after their freeze in June 2023.

Unfortunately, per UW Grant and Contract Accounting (GCA), the OnCore to UW Workday interface will not accept the invoice from OnCore on any award in an ‘Advance’ status.  Because the hold is expected to be resolved by 8/1, study teams may continue to generate invoices in OnCore once the contract is fully executed even if their award is still in the “Advance” status.

However, these invoices will not show in Workday until the status changes to ‘Awarded’.  The OnCore team has a daily report where we will monitor these undeliverable invoices, but we do not have access to Workday to monitor status changes directly.
